ABOUT THE ROLE - Business Process Co-ordinator


Proactively manage direct orders/projects from the MOS team to ensure the highest possible standards of customer service and efficiency are met contributing to group target of 98% on time in full delivery performance.  To provide proactive updates to Sales teams and Channels on orders and to manage urgent spare part orders. When necessary, become involved in the escalation process with Internal and External suppliers to ensure promise dates are kept and organise order books to satisfy customer needs.  Attend on-line project meetings and maintain action log co-ordinating the involvement of Domino.


Growth of Direct Business - The direct business for the team continues to grow but more importantly it is the areas where we are now picking up direct business and also the type of business.  For example, Imperial Tobacco have been and will continue to equip factories outside Europe, typically with re-worked laser systems from other factories.  This makes the order processing far more complicated and makes it essential we allow the time to be proactive and prevent future issues.  For example, this year we have had to ship to Burkina Faso and Ivory Coast for Imperial tobacco which were highly complicated shipments that wouldn’t have been possible by our business teams.

 Changing responsibilities

The focus of the business response team has been on orders after they have been placed and up the point when they are shipped.  To be successful we need to integrate into the on-going projects.  Become involved in the projects and attend the project meetings to co-ordinate the actions resulting from the meetings to improve the customer experience.  The role is to support direct and indirect orders and also to help the overall team manage situations in the field much more easily and with far fewer express courier shipments and so saving significant cost.

 Project Management – To manage all direct orders from point of entry in Oracle.  Work with colleagues from internal departments and external suppliers to attempt to achieve customer request date, but to ensure delivery in full to promise as a minimum.  Maintain weekly updates on order status and schedule.

 Customer Service – To proactively communicate with Key Account Managers, Sector Managers and Channels ensuring they are aware on the status of their orders.  Prioritise where necessary and communicate any issues at the earliest opportunity.

 Supply Chain – Ensure purchase order dates and sales order dates are aligned so that orders are ready for despatch on time in full to promise date.  Work with internal teams to ensure co-ordinated approach.  Manage potential shortages and escalate when necessary.  Be point of escalation with Suppliers to achieve customer need by dates.

 Reporting – Provide weekly updates on orders and lead-times.  Report monthly performance.
